Preparing for Your Appointment

What to bring, what we need, and how to make the most of your time with us.

What documents do I need for an individual tax return?

The exact list depends on your situation, but for most individual returns you'll need:

·         Tax File Number (TFN)

·         Photo ID

Most of your income — such as salary, wages, and bank interest — will already appear in your ATO pre-fill data, so you generally won't need to bring payment summaries or interest statements yourself.

However, if you have sole trader or partnership business income, rental properties, shares, cryptocurrency, or capital gains events, we'll need all the relevant information and records related to those, as they aren't fully covered by pre-fill data.

What do I need for a return with investment income?

Rental property: Rental income records, loan interest statements, council rates, insurance, agent management statements, and any repair or

maintenance receipts.

Shares: Dividend statements and any buy/sell records for the year.

Cryptocurrency: A transaction history from your exchange(s) covering the financial year. CSV exports are fine.

Capital gains (property/business): Purchase and sale contracts, plus any costs associated with the transaction.

Sole Trade or Partnership Business Income: Income and expense information for the financial year, along with your business bank statements.

What does a business need to prepare?

For business tax returns and financial statements, it helps to have:

Access to your accounting software (Xero, QuickBooks, MYOB, etc.)

Bank statements for the financial year

          Loan documents (if applicable)

Any unpaid invoices or outstanding bills at 30 June

Payroll records (if you have employees)

Prior year financial statements and tax return

If your books aren't up to date, that's fine — we can help with that as part of your engagement.

Can I upload documents before my appointment?

Yes, and we encourage it. You can upload documents to your secure client portal before your appointment. This saves time in the session and lets us review your records beforehand.

If you haven't set up your portal yet, see our Client Portal, or watch our short upload tutorial video.

Your Appointment

What happens on the day and what to expect from us.

Where are you located?

Shop 1, 19 Thomas Street, Chermside QLD 4032. Only street parking is available.

What happens during the appointment?

We'll go through your income, deductions, and any other relevant information together. For tax returns, we'll review your documents, prepare the return, and walk you through the outcome before lodging.

If anything is missing on the day, we'll let you know what we still need and follow up once we receive the missing information.

How long does an appointment take?

It depends on the situation but you may expect the following durations:

·         Standard individual tax return: 45 minutes

·         Extended return (rental/capital gains): 1 hour

·         Couples return: 1 hour

·         Extended couples return (with rental): 1.5 hours

·         Sole trader/partnership/company/trust return: 1 hour

·         Tax planning session: 1 hour

·         Tax advice consultation: up to 1.5 hours

Having your documents ready and uploaded to your client portal beforehand helps us make the most of your appointment time and keeps things running smoothly.

Will my return be lodged on the same day?

In most cases, yes. For straightforward returns, we aim to lodge on the same day. If we're waiting on information from you or a third party (e.g. income statements not yet finalised by the ATO), we'll lodge your return as soon as everything is confirmed.

Client Portal

How documents are shared securely and how to access your client folder

How do I send you documents?

We share a secure link that directs you to your document in your client portal. This keeps your financial records private and reduces the risk of interception or accidental forwarding. You can upload your documents on the client portal.

A short video on accessing the portal and a video on uploading on the portal are available if you'd like a walkthrough.

How does the new document sharing process work?

You'll still receive an email from us as usual — the only difference is there is no attached file.

Inside the email there is a link. Click it.

You'll be prompted to log in to your client portal to view the document.

Your portal also contains a client folder where you can view all documents we've shared with you.

How do I access the client portal?

Visit https://tncaccounting.sharepoint.com and log in with the email address you registered with us. We'll have sent you an access invitation when your portal was set up.

A short portal tutorial video is available if you'd like a walkthrough.

How do I upload documents to the portal?

Log in to the portal and navigate to your client folder. From there you can upload files directly. We have a short upload tutorial video that walks through the steps.

Can I give someone else access to my portal?

Yes. If you'd like to add a contact (for example, a partner or bookkeeper), reply to any email from us with their email address and specify whether you want them to have full access to all shared documents or access to specific documents only. We'll set this up for you.

I'm having trouble logging in. What should I do?

Make sure you're using the same email address you gave us when you first became a client.

Check your junk/spam folder for the original invitation email.

If none of those work, call us on (07) 3105 2892 or email [email protected]

After Your Return

What happens once your return is lodged and what to expect next.

How long does it take to receive my tax refund?

Once your return is lodged, the ATO typically processes refunds within two weeks for electronic lodgement. The ATO will send a Notice of Assessment to your myGov inbox confirming the outcome. Processing times can vary if the ATO selects your return for review.

How will I receive my completed documents?

All completed documents — including copies of your tax return and any financial statements — are available in your secure client portal. You'll receive an email from us with a link when they're ready.

What if I receive a letter or query from the ATO after lodgment?

Contact us straight away and share the communication with us. We can advise you on the appropriate response and liaise with the ATO on your behalf where needed. We recommend you don't respond to the ATO directly without speaking to us first.

When should I lodge my tax return?

The Australian financial year ends on 30 June. If you're lodging yourself, the standard deadline is 31 October. Clients who lodge through a registered tax agent like us typically receive an extended deadline — often as late as 15 May the following year, depending on your circumstances.

We recommend booking early in the July to October period, particularly if you have rental properties or investment income.

Ongoing Clients

How we work with returning clients and what ongoing support looks like.

Can I contact you throughout the year with questions?

Yes. Clients on our monthly business packages have access to unlimited phone and email support for tax queries. For straightforward questions, we'll respond by email or phone.

More complex matters — such as ATO disputes, business restructuring advice, or formal written opinions — fall outside standard support and are quoted separately.

Do I need to book a new appointment each year?

Yes. Each tax year requires a separate appointment and lodgement. We'll send you a reminder when the new tax season opens. Individual clients typically book between July and October each year.

Can you help if my previous accountant's records are a mess?

Yes. We regularly take on clients who've had problems with their previous accountant — incomplete records, missed lodgments, BAS errors, or arrears. Book a consultation and we'll assess the situation and give you a clear path forward.

Do you offer Xero or cloud accounting setup and training?

Yes. We're a Xero Gold Partner and QuickBooks ProAdvisor and can set up and configure your cloud accounting software, migrate data from another platform, and provide one-on-one training for you or your team. MYOB and Reckon are also supported. Contact us to discuss what you need.
